How to work productively with your Virtual Assistant

Before I started my business, I had all the questions, one of the main ones being ‘how would I work with my clients on a daily basis?’. Over time, I’ve realised this is the main question client side too. I’m here to get you clued up on all how you make your relationship with your VA as seamless and productive as possible.

Let’s be honest, none of us are super keen on tons of emails going backwards and forwards anymore. Delegating tasks over Whatsapp can get muddled and lost, especially after a conversation about interiors or Netflix gets thrown in mid flow. Endless zoom calls about upcoming tasks can become costly and time consuming. Without further ado, I want to introduce your partnerships new bestie…. Trello/Asana or any other project management tool.

This is a game changer, not just for Virtual Assistants, but for anyone to use in their business or personal life. I’m a Trello girl, it’s a very visual project management tool. Or there’s Asana that I have also used, this is set up using lists, it is completely your preference on what you prefer to use.

When on-boarding a new client, as part of the process, I set up a new Trello board. This is our designated area to hold all shared information on tasks, resources (as well as Google Drive or Dropbox), and anything else we both need to be aware of. I have a generic board setup which can be amended by my clients to suit how they would like to work (after all, I am here to make their life easier!). Each task has a card which can include all the information, due dates, attachments, comments etc. Clients are then able to see what tasks I am working on, any questions I might have, and when each is complete as we move cards around the board. I barely even have to speak to some of my clients!

The amazing thing with these project management tools is that you can usually get the phone app too, meaning you can add a new task from anywhere at any time, and be notified when changes happen.

Not only can these be used for everyday tasks, but also for content creating, goal sitting… the list is endless.
